This is achieved by using a proprietary set of tools, templates and processes to systematically define, assess, transition and document knowledge.

Organisations typically have one or more of the following scenarios –
  • Systems are mostly undocumented or documents that exist are out-dated
  • A lot of knowledge exists in the form of intellectual capital and there is a very heavy dependence on one or more key individuals who possess most of this critical knowledge
  • There is a knowledge gap that exists in many areas due to staff turn-over or use of temporary staff
  • Some good documentation exists but it is not well organised or accessible

KTM - DELIVERABLES
The deliverable from the KTM™ process is a comprehensive knowledge repository that includes -
  • Knowledge Transfer Components Lists - These are documents that define the knowledge portfolio using a hierarchy of categories, topics and sub-topics along with additional information that provides links into the knowledge repository.
  • Knowledge Transition Risk Profile (KTRP) sheets – These documents provide the knowledge risk profile of components at a category level – e.g. for individual applications in IT application knowledge transfer processes. These indicate the relative scope, difficulty and risk of each area and also identify focus areas to be used in the knowledge level assessment process.
  • Knowledge Transfer Workbooks – These are documents created during the transition process and are generated using a set of templates that ensure that the right level of detail is addressed in the knowledge gathering process
  • Other System Documentation - Process flow-charts, functional overviews, program-level documentation (existing and new), audio files and any other documents created in the transition process
  • Knowledge Level Assessment Charts - Initial, targeted and final
  • Any other documents created as part of the process
The documentation generated will be integrated into a linked system of files all driven from the Knowledge Component Lists. The case studies illustrate some of the deliverables from the KTM™ process.
